To begin with, first fill in the fields in the spreadsheet template. Fill in the first name, last name, and main email recipient. Then, select the check boxes for CC or BCC. Note that you can select either CC or BCC, but not both in a single row. In the other recipients field, enter the email addresses separated by commas for CC or BCC.
Next, select all those rows for which you want to send similar attachments and select all those rows for which you want to send different attachments. The overall size of the email with attachments should not exceed 15 megabytes, as per the standard set by Google.
After column H, add a delivery timestamp column. You can enter variable fields such as salutations, status, and body. For example, for salutations, you can enter ‘sir’, ‘miss’, etc. For status, you can enter ‘completed’, ‘in progress’, ‘deferred’, etc. For body, you can use the chatGPT function or other Google sheet functions to be more creative.
Now, go to the add-in menu and select the submenu ‘Mail Merge’. Then, select ‘Preview Mail’ to see a sample mail with all the attachments and variable text for the first record in the Google sheet. You can validate the preview mail in your Gmail inbox or in the Gmail sent items.
Once you are satisfied with the content of the preview mail, you can broadcast the email to all the recipients in your Google sheet by selecting the ‘Broadcast’ menu item from the add-in submenu ‘Mail Merge’.
