Capturing and Managing Ideas with Microsoft Teams and Power Platform

We are starting off by going to Microsoft Teams because when we are using Power Platform and Teams, we also have the ability to use chatbots. These chatbots today can be also utilizing chat GBT, which is AI in a secure way by using the Microsoft Azure open AI infrastructure.

When we are in Teams, you will notice that you have this chatbot. If I go down here and write ‘hi’, for instance, it will within a few seconds give me the options that I have. This can again be tailored to the needs. It says, ‘Hello, I’m your assistant. Let me know how I can help.’ You can then create a project, an idea, learn something, get support, or just chat using GBT in a secure way.

For this demo, we’re going to start off by doing an idea. We’re going to click ‘Create Idea’ and based on that, it will ask me some questions that it knows are needed in order to create new ideas. If I say ‘my webcast demo’, that could be the name. After that, it will probably ask me about the description. My super idea description. And I think that’s enough in this case for it to create the project or the idea.

Now, when we have created an idea, you will notice that there are lots of fields we can fill in. We can tag it to the right portfolio, have a start and end date, add a budget, rate it against strategic goals, and more. Once we do that, which takes less than a second, you will see that it now has an RI (Return on Investment) of 2.3. There are lots of things we haven’t done, like adding a timeline and idea type, but this is just to illustrate that we can capture demand before it becomes a project.

Up here, we have the state gate model where you can also expand. Here, you will see there are different requirements in order for this project to progress. Because we have a name, description, and RI, I’m allowed to progress to the next stage. This way, you can have a streamlined approach to capture early ideas, mature them inside this PPM (Project Portfolio Management) tool, and once you’re ready, you can convert the idea to a real project.
